Events Planning and Management Essay

What is an EventSpecial or spectacular occasions where people gather together for a purpose whether they be to celebrate, educate, promote or commemorate. They are not the usual and ordinary activities that one engages in as part of his daily life Who is an Event PlannerAn event planner is, quite simply someone who organizes events. He is the person behind the scenes who gets the job done and make sure everything is done and done flawlessly to ensure successful staging of the event. He must be well versed and trained on the communication and organization aspects and requirements of the job. Event planners usually get their start doing, supplying or providing services in one or two particular aspect of an special events such as catering, floral arranging, entertaining and talent agents eg before they decide to plan entire events. Or they may also have started planning and coordinating events for companies they were employed with before deciding to go into the business for themselves Since events may vary in size, scope and complexity, it may require an event planner to do any number of different task but all with the end result of achieving a successful event Categories of EventsSocial Events- more on a local level, attendees are usually related and/or know each other on a more personal level. Care and caution must be taken as the event planner may find himself in the storm of a family event , as emotions often run high on these special occasions. Make sure everyone knows their role and exactly what’s expected of them. List of common social events: weddings, reunions, housewarming/blessings/holiday parties and dinners/birthday parties/bar or bat mitzvahs/baby showers/anniversary parties/bridal showers/stag parties, et al. Corporate Events- the term â€Å"corporate† includes not only companies but also charities and nonprofit organizations. Charities and nonprofit organizations host gala fundraisers, receptions and athletic competitions, among other events, to expand their public support base and raise funds. Companies host trade shows, conventions, company outings, holiday parties and meetings for their employees, staff, board members and stock holders. Some types of corporate events: Annual shareholder meetings, board meetings, client appreciation events, company socials (such as holiday parties, intramurals and sports events, company outings), groundbreaking ceremonies, incentive travel, open houses, new product launch, press briefings, staff training, union events/meetings et al Industry Events – Industry events today are sophisticated affairs designed to inform, influence and form consensus on a specific issue or common topic. Industry specific events include: Conventions, association meetings, conferences, industry tradeshows, public exhibitions(bridal fairs, auto shows, home shows), symposiums et al Special Events – The term â€Å"special events† can describe a broad range of affairs which are big, national or local in scope such as major sporting events (palarong pambansa), major public events (EDSA Day celebration), major cultural and religious affairs ( Baguio mayflower festival, dinagyang, ati-atihan, sinulog festival), However special events may also be much smaller, specific and more private in scope. List of special events include the following: Award events, book launching, signing/author reading, CD release parties, charity fund raisers, children’s festival, ethnic celebrations, fashion shows, holiday special events, inauguration ball, music festival, parades, political forums or debates, restaurant openings, sporting event-car races, store grand openings STEPS IN EVENTS PLANNING 1. Client Consultation Whether you have your own event planning business or work full time planning events for one company you will work with clients. As a corporate events planner your internal clients will be other departments (HRD, Marketing, Operations etc). on the other hand if you are doing events planning independently you will be dealing with company representatives or in some cases the company officials themselves. In each case consultation will be of primary importance as these will determine the direction, objective and purpose and vision of the event. At the initial meeting do more listening than talking, pay careful attention to everything the client says, make notes or record the meeting(with clients permission), bring an assistant to make notes for you. When its your turn, ask the client to describe their vision for the event. Then from broad ideas, you will refine the vision as you move through the planning process. Questions such as those below will help the events planner to begin to visualize the event and serve as the foundation for all the work to come. Things to discus with the client: What kind of event do you want What do you hope to accomplish When is the event to be held Who are expected to attend What is the budget At the end of the consultation you should have a clear picture of what your client envisions for their event and be able to form a clear, concise â€Å"mission statement† or objective. Other things to discus: who will be involved in the planning process, who will be the key decision makers, and how information should flow during the planning stage. This is precisely to anticipate and eliminate possible roadblocks as you can before you reach them since as the events planner it is your responsibility to take charge of planning. After the initial meeting and while it is still fresh on the mind of both parties (planner and client) summarize the discussion in writing and send a copy to the client if possible on the same day or soon after. 2. Set Objectives The best and most successful events have a clear purpose or objective. Event planners can avail of the SMART method for setting strategic objectives: Specific- What is the specific result of you event Measurable- Outcome should be measurable accurately Attainable- Given the existing budget and resources and constraint, is the objective attainable Relevant- Do the people involved have the authority, the skill and the resources needed to meet the objective? Is the objective important to the organization or individual? Time- Based- Is there a start and end point to the objective? Setting smart objectives will not only make the planning easier but will help measure the success of the event and create a positive experience for all involved. 3. Choose a Date and a Location At this planning stage, preferred date should be decided upon. Client will often but not always come with a date in mind for the event. If they don’t, it will be your job to help pick a suitable date. But whether you do the setting of the date or not you need to consider the following before choosing the date or accepting the client. Things to consider when choosing a date: Consider your availability Consider other events in the area Consider the season and usual weather in the chosen location Consider your suppliers Consider other related events Consider other holidays Consider your time needs 4. Decide Who to Invite Your client needs to give you an idea of who they want to attend their event before you can begin to formulate a plan to attract the target audience or plan activities. The following data or information are required (depending on the type of event) How many people are to be invited Will spouses or children also attend Demographics of the target audience (eg. Gender, median age, ethnic background, income bracket) Common or shared interest What payback does the client expect Where are the attendees coming from (travel arrangement, customs and traditions) 5. Create Your Theme The most memorable events have a cohesive theme that runs through-out, from initial publicity to printed invitations to decor and right through to the entertainment and final applause. One of the biggest advantages of a strong theme is its usefulness in helping you make decisions throughout the event process. Once a theme has been decided on, print materials such as invitations, banners, place cards, brochures, advertising and websites can be designed. Set the Event Agenda After the date, guest list, the theme and setting of the smart objectives , its time to set the agenda for the event. Whether its a simple house blessing or a three day corporate event, its important to layout the entire schedule. Include adequate time for arrival, socializing, speeches, awards/games, food, etc. â€Å"Visualize† the event and run through the entire program from start to finish. Make notes of all you might need such as materials, services, special arrangements, eg. Create a list of vendors and suppliers to contact and task to be done. GETTING ORGANIZED As an event planner, you will need a variety of organizational tools that will help you keep track of all the many details involved in organizing the event and ensuring an orderly and systematic execution of plans aimed towards making the event successful 1. Establish an Event Committee Although it is a given that you will do all the planning and planning of the event yourself, in most cases, you will work with a group of people who are expected to make the event successful Choose a select group of key people to form an Events Committee Assign specific task to each committee member Regular committee meeting Document everything 2. Create a Timeline Schedule Base your timeline on factors such as The size of the event The location The time of year The number of people involved in the planning Develop an outline of specific tasks, deadlines and responsibilities 3. For example under the â€Å"Assigned tasks for day of event† list the specific task that needs to be assigned such driving to airport pick up, supervising set up, leading briefing sessions with speakers, seating, greeting, supervising set up of luncheon, etc. Once you have develop the checklist, assign target dates to each item, It is a good idea to work backwards from your event date 4. Critical Path ( Assignment of Task) A critical path lists each of the tasks that needs to be accomplished; who is responsible for it and the deadline by which it will be done. It is used as a guide map for the event to assist when delegating responsibilities and show whether you are on track. 5. Budgets Creating a budget is an important ingredient in a successful event. Once you have created a timeline schedule and critical path, you can come up with a list of estimated expenses such as venue rental, food, transportation, accommodations, audio-visual equipment, printed materials and gifts. Get price quotations from your suppliers to find out how much a particular item costs You will also need to include your own fee and corporate clients may want to include any staff time they spend on the event as an expense. When planning a budget, include your potential revenue to offset the cost. For example, is the event a fundraiser? Is it a conference or convention that should aim to cover its own expenses? Attendance fees, sales of related materials, donations, ticket sales and sponsorships can all be good ways to raise revenues. After the event you should compare actual expenses and revenues to your budgeted amounts. This will help you determine if your objectives were met and it may assist in budgeting for future events. Crisis and Back Up Planning Disasters and crises can range from relatively small (the guest of honor’s plane is delayed due to bad weather) to huge and seemingly insurmountable, like the heavy rains and flooding that tropical storm Ondoy brought in Sept. 2009 . A good event planner will be able to think on his or her feet for the small stuff, and have a solid crisis plan in place for dealing with the biggies. You can’t possibly expect to plan for every type of crisis, but a little advance planning will go along way to ensure that you can handle whatever comes your way. a. Maintenance Emergencies If your event takes place in hotel or convention facility you should discuss emergency plans with the Director of Sales and Maintenance Engineer. They should provide you with a contact at the site who will take care of any emergency or maintenance issues. If your event is being held in a private hall, find out who in their organization is responsible for facility maintenance and ask for someone to be available during your event. In your contact list, keep numbers of 24-hour locksmiths, plumbers and electricians. b. Medical Emergencies When planning a large outdoor festival or sporting event, it is advisable to have first aid personnel on hand for emergencies. Festival-goers may suffer from heat stroke (or hypothermia in a cold location), minor or major cuts, sunburn or food poisoning. It’s a good idea to include in your rental items a tent that can be used to shelter people fro the sun or cold while receiving treatment for minor injuries. Discuss option and get advice from your local ambulance volunteer force or contracted service providers. Be sure to include the local hospital, emergency line and non-emergency police number in your list of contacts. Organizing the Team for the Event Most events are organized through good team (2 or more persons working together) work. It is important that when tasks are allocated within a team the strengths of its members are put to good use. For example, it is no good asking someone to be the secretary who is has little skills in oral communications. The following are the roles that can be adopted in any event: Coordinator Secretary Treasurer Marketing/Promotion **The Number in the Team and their responsibilities will vary according to the scale of the event. It is important that all team members fully understand what their jobs entail and are aware of all the schedules and deadlines that have been agreed. It is much better to have someone in your team who is reliable rather than a â€Å"prima donna† who promises everything and delivers nothing. Planning Contributions to A Team Event Most events are not the result of one person’s work alone. Events are made through the concerted efforts of a group of people or a team who are working for the same general objective ~ to achieve a successful event. Within this team there will be a number of weakness in their areas of work. These skills, strengths and weaknesses should considered carefully when the various jobs within the team are allocated. Each team member will plan their own contribution to the event to be staged. Lady Brit wants to ask Andrew for money for the girls and their intendeds, Charles Lomax and Adolphus Cusins; therefore, she has asked them to be there also. Caregiver Barbara to Jenny 87 Barbara has been talking with Bill about what he had done earlier to the women and trying to get him to see the light. Bill tells her he is looking for his woman, Mog. She decides to let him think about this for awhile and turns her attention s to Jenny. With sincere concern she asks if Jenny is all right and comforts her with a gentle touch. Andrew says his religion is that of a millionaire. She says she is wrong they dont have anything in common then. Barbara dismisses Shirley and turns to her father. He asks about Bill. She says they will convert him in time. She seems to read Bills mind when she says she is sure her would like to smash Mogs head in. He is amazed that she knew what he was thinking. She tries to scare him by saying that his new companion is the devil. And when the devil comes round he depresses people like him. Quote: The devil, Bill. When he gets round people they get miserable, just like you. Fanatic Barbara to Bill 90 Barbara is hell bent on saving Bills soul she keeps talking to him about the terrible thing he has done, hitting a good soul like Jenny Hill. She has become relentless. Telling him to hold out against the conversion and that he hasnt a heart. She is playing on his guilt to make him repent and be converted to the light. She wants to know why he keeps thinking about the deed if he is not feeling guilty. Quote: A man with a heart wouldnt have bashed poor little Jennys face, would he? Critic Barbara to Andrew 99 Barbara has just come back with Snobby Price from the shelter. Snobby has told his story of wickedness and they have collected four and tenpence. Barbara wish Snobby had been just a bit more wicked to his mother then they might have received five shillings. Her father, Andrew Undershaft, is sitting listening to the tale and offers to give the difference to make up the five shillings. Barbara wants to know how he made the money. By selling guns of course. She criticizes him for attempting to buy his soul into forgiveness. The salvation must be worked for. Quote: Put it in your pocket. You ca nt buy your salvation here for twopence: you must work it out. Loner Barbara to herself 111 Good news had come from Mrs. Baines that Bodger would donate 5000 pounds to the shelter if she could get five other to donate 1000 pounds each. Barbara is at first excited until she learns that this man makes his money from selling spirits. Her father then offers the other 5000 pounds. He begins to write the check. Barbara protests that these men should not be allowed to buy their salvation. She becomes dishearten when the money is accepted and even Cusins agrees that it must be taken for the poor of the shelter. Because of this act she has lost the soul of Bill for he sees them buying their way out of sin. She feels dissolute and alone. Quote: Drunkenness and Murder! My God: why hast thou forsaken me? Andrew Undershaft Judge Undershaft to Lomax 67 Andrew Undershaft has just been introduced to his children, that he has not seen since they were babies. He blunders who they are quite badly. He mistakes Sarahs fiance, Charles Lomax, for his son. He then mistakes Barbaras fiance, Adolphus Cusins, for his son. Even after Cusins introduces everyone he calls Sarah by Barbara. Lomax makes the comment that it must take time to get used to being there again. Andrew says it is not that. He judges himself that as a father he is a stranger and as a semi-intruder he will seem an uncaring father. Quote: My difficulty is that if I play the part of a father, I shall produce the effect of an intrusive stranger; and if I play the part of a discreet stranger, I may appear a callous father. Visionary Undershaft to Cusins 94 Undershaft and Cusins are discussing the two things that Undershaft feels are necessary for salvation, money and gunpowder. Undershaft has no use for honor truth and justice in his religion for without money and gunpowder you cannot afford them. Undershaft tells Cusins that in order for him to live his life the way he proclaims and saves people he must have money and pow er. At the end of the play this is what converts both Cusins and Barbara to Andrews world. He is giving us insight to the furture for Cusins. Conniver Undershaft to Cusins 96 Undershaft and Cusins have been discussing religion. Now Undershaft wishes to deal with the business at hand, getting Barbara for himself and Cusins. Cusins doesnt want to do business he felt they were talking about religion. Undershaft tells him that religion is the business at hand for it is the way to achieve their goals of having Barbara to themselves. Cusins only joined the Salvation Army to be near Barbara. Undershaft has come to the shelter to find an inlet to Barbara. He uses the need of money for the Salvation Army to get Barbara to leave. Quote: Religion is our business at present, because it is through religion alone that we can win Barbara. Traditionalist Undershaft to Lady Britomart 118 Undershaft has arrived to take the family to his munition factory. When he comes in he and Lady Brit are alone. Lady Brit approaches the subject of the girls needing money to support their intendeds and themselves. He agrees without any difficulty. She then approaches the subject of Stephen. Lady Brit wants Stephen to inherit the factory. Undershaft tells her that he cannot break the tradition. Every Undershaft has been a foundling and that has been the tradition for years. It is also the tradition that the wives argue with the Undershaft husbands about the disinheriting of the eldest son. Quote: My dear Biddy: the Undershaft tradition disinherits him. It would be dishonest of me to leave the cannon foundry to my son. Oppressor Undershaft to Lady Brit 120 Undershaft and Lady Brit are arguing over the fact that he will not make Stephen his successor. He criticizes Cusins weapons against him. They pity and love, have failed him now he must try forgiveness. Undershaft will win. Quote: You are fencing, Euripides. She is quite serious in her manner of speaking, but Adolphus is laughing. She would expect this from Charles but not him. He explains that Barbara was attempting to show him how to do the Salvation Army March. Lady Brit feels if he were truly converted this would not be humorous. Quote: Barbara has been trying to teach me the West Ham Salvation March. Director Cusins to Undershaft 67 Andrew Undershaft has just entered the home of Lady Brit, his estranged wife. Undershaft keeps putting his foot in his mouth. Cusins feels sorry for him and takes control of the situation. Cusins introduces everyone and who they are a nd how they are related to Undershaft. Dreamer Cusins to Barbara 149 Cusins has been battling with his morals as to whether or not he should join Undershaft in his foundry. He and Barbara are talking that there is no power for him. I want to make power for the world. Lady Britomart Undershaft Oppressor Lady Britomart to Stephen Undershaft 52 Lady Brit wishes to speak to her son Stephen on a serious matter. Stephen is quite nervous about what is to be told to him. Treating him like a child Lady Brit demands he bring her a cushion and sit down. She then orders him to stop fidgeting with his tie. She is trying to dominate over his insecurities. Quote: Bring me my cushion. Sit down. Dont fiddle with your tie, Stephen: there is nothing the matter with it. Avant-garde Lady Brit to Stephen 53 Lady Britomart has asked Stephen for advise with the family affairs-the welfare of his sisters, Barbara and Sarah, and himself- Stephen feels there are certain subjects he should not approach. Lady Brit then initiates the subject of her estranged husband, Andrew Undershaft. It is her intention to invite him over to ask him for money for the girls and their intendeds, Charles and Adolphus. Andrew has not seen the children since their infancy. Quote: I suppose you mean your father. Judge Lady Brit to Stephen 56 Lady Brit and Stephen are discussing why she and Andrew are separated. Andrew is a bastard child who was adopted and raised to take cont rol of the cannon factory. Out of tradition Andrew is looking for someone to adopt and train in the business so they might inherit it. Andrew is unashamed of his background. Lady Brit feels that Andrew is doing an injustice to their son by disinheriting him. He has also found out that all the money that supports his family comes from his father. Lady Brit says that the money is settled, but more is needed for Sarah and Barbara to support their intended husbands, Charles Lomax and Adolphus Cusins. She is trying to get Stephen to say for her to ask Andrew for the money; therefore it is not all on her head. Quote: I am not determined: I ask your advice, and I am waiting for it. I will not have all the responsibility thrown on my shoulders. Charles Lomax Critic Lomax to Undershaft 70 Undershaft and Barbara are talking about the Salvation Army. Lomax is playing the concertina. Barbara asks Undershaft if he can play any instrument. He says he plays the trombone. Lomax is scandalized. Barbara says many sinners have played their way to heaven with the trombone. Lomax criticizes Undershaft by saying that isnt his cup of tea. Quote: Getting into heaven is not exactly your line, is it? Avant-garde Lomax to Barbara 114 Lomax is the first to state about Barbara not wearing her Salvation Army Uniform. This is after the upset she had at the Shelter. Quote: Youve left off your uniform! Jester Lomax to Lady Brit 117 Lady Brit has said to Adolphus that since Barbara has left the Salvation Army he must also. He has already done so. Barbara would like to know if he would have joined if he hadnt seen her. He stammers, he thinks she is about to find out that he only joined to win her hand in marriage. Charles is trying to be cunning and reveal Cusins secret. Lady Brit scowled at him. Then he jokes about his actions. Quote: Well, drivel is drivel, dont you know, whatever a mans age. Theme The play has many themes in each of its acts, but the major theme is the battle between good and evil through wealth and power. The first power battle comes between Lady Britomart and Andrew Undershaft over the affection of the children. Lady Brit must invite Undershaft over to her home after many years of estrangement and she states that Undershaft has a charisma that allows him to plant his wickedest ideas into children and they will follow. In the end of the play she loses her children to him and his money at the cannon factory. Barbara breaks down and decides that she should focus her opinions on those who are well fed. Stephen must admit that the place is much nicer than he had expected. Undershaft makes an affront against the Salvation Army with his money. He uses the need of money for the Salvation Army to ge t Barbara to leave. Zebra Storyteller And Yellow Wallpaper "The role of the narrator influences the type of relationship we have not only with him or her but also with the story" (Landy 75). This quote was taken from our Literary Studies book in which we have read several stories concerning different styles of narration. Narration is one of the most important components of a story. The characters, plot, setting, and theme are also significant, however the narrator sets the mood and also the pace of the story. Two good examples of narration is the short tale The Zebra Storyteller by Spencer Holst and The Yellow Wallpaper by Charlotte Perkins Gilman. These are stories in which the narrators retain certain styles of narration. An outside book that we have not read is the fairy tale Cinderella. In these three works, the narrators have specific functions or duties to carry throughout the story. In The Zebra Storyteller the narrator is a Siamese cat but the narrator is also an outsider. During the story the cat tells a story to his friends about how skillful and 'powerful' he is at killing zebras. Towards the end of the story the cat is handed his fate; he is kicked and killed by a zebra, who sensed feared when approached. At the end of the story Holst concludes with the statement, "That is the function of the storyteller." This statement pertains to the idea of the function the storyteller has or how they create the atmosphere and set the grounds in which the story is based on. There are many functions of the storyteller. They can teach a lesson, control the story, entertain, and stretch one's own imagination. In this story it is a great example how the story can take a sudden unexpected turn and shock the reader. The narrator can take twists and turns and can make expected or even unexpected outcomes in the story. A good example in the story would be where the narrator states, "The zebra storyteller wasn't fit to be tied at hearing a cat speaking his language, because he'd been thinking about that very thing" (Holst 1971). At this point the narrator changes the reader's perspective and sheds light on an upcoming event in the story. Which turned out to be a big event where the Siamese cat got killed. Of course this story is fictional but it is an excellent story to portray how a narrator can expand the reader's imagination. The Yellow Wallpaper is a story in that one of the different styles of narration is prevalent. Some types of unique styles of narration writing are story telling, diary style, or telling a story about a day's experience. The Yellow Wallpaper is in diary format which means the narrators internal thoughts are exposed in the story as well as their outside thoughts, meaning how they deal with the other characters in the story. This story is about a woman who is in a mental hospital where she is kept in a room that has very old yellow wallpaper on the walls. In this story the main character or the narrator is secluded in this room by herself and is limited to basically doing nothing. As the story continues the narrator is drawn toward the hideous wallpaper and finds herself in the wallpaper. In her diary writings she reports, "There are things in that paper that nobody knows but me, or ever will. Behind that outside pattern the dim shapes get clearer everyday" (Gilman 83). In her reports she creates a mysterious, scary mood about the woman she sees in that paper. When the narrator reveals 'her diary' it allows reading into their thoughts on how they take in the actions in the story. She lets them into how she feels about her husband and also she is not allowed to write because he says it is going to delay her getting better, which she disagrees with. She says, "Personally, I believe that congenial work, with excitement and change, would do me good" (Gilman 78). The narrator's function in this story is to set not only the mood but also the setting. In the beginning she describes her settings very clearly giving details of her room and the outside gardens. As the story continues she becomes more abstract due to her deteriorating awareness of reality. At the end her husband collapses due to the sight of his wife 'creeping through the wallpaper.' She makes her reader's imagination wonder what really happens at the end. After he faints she
